Communications and Stakeholder Relations Coordinator

We are looking for a Communications and Stakeholder Relations Coordinator to provide strategic support with communications efforts that increase awareness and positive views of the Edmonton Valley Line West project (EVLW). Using multiple platforms and methods, this position is responsible for ensuring that project Communication objectives are met, and all members of the public have access to information, project updates and impacts.
Main Responsibilities
• Researching, planning, managing, writing, editing and/or contributing to communication products, such as construction updates, newsletters, presentations, speeches, question and answer documents, fact sheets and brochures for internal and external audiences
• Preparing and facilitating client, stakeholder and public meetings, correspondence and website training sessions
• Creating summaries of completed communication campaigns, reporting on the successes and areas of improvement
• Liaising with Project teams to ensure that Project progression and delays are clearly communicated to the client, stakeholders and the public in a timely manner to mitigate impact
• Providing empathetic and responsive service to the public regarding inquires and complaints about construction impacts through various channels including phone calls, email, social media and in-person escalating concerns as appropriate – contacting appropriate managers and ensuring resolution is complete and satisfactory.
• Monitoring inquiries and complaint channels during regular business hours as well evenings and weekends
• Creating and managing project timelines and task lists, with attention to timeline, budget, and project scope.
• Keeping informed of project policies, regulations and procedures by utilizing communication tools to ensure accurate information is relayed and proper processes and procedures are followed
• Participating in regular walkthroughs with the client and stakeholders
• Preparing and participating in construction, traffic, and scheduling meetings
• Collecting, inputting and maintaining databases throughout the life of the project, reporting on current and historical data as required
• Explaining complicated construction concepts in a concise manner using plain language
• Providing continuous improvement recommendations and bring forward suggestions that improve services
• Identify emerging issues and provide timely advice, responsive issues management and effective communication strategies
• Assist/support Stakeholder Relations by creating necessary documents and keeping them apprised of current construction impacts
• Other duties as assigned or required
Requirements
• Degree in Communications, English, Public Relations or similar disciple
• Minimum five years’ experience in diplomatic communications, municipal government, utilities sector or working on large public infrastructure projects
• Previous experience with website content management systems, social media platforms and project management programs
• Previous experience with the Microsoft Office suite, including Bluebeam is an asset
• Exhibit professionalism to recognize and manage sensitive and confidential situations involving clients, stakeholders and the public
• Strong business acumen, attention to detail and time management skills
• Ability to perform in a high-paced regulatory environment, with the ability to administer tight deadlines while ensuring a high attention to detail and budget adherence
• Ability to be available for events and responding to inquiries outside of normal business hours
• Valid Class 5 license; clean abstract preferred
• Ability to negotiate the terrain of an in-process construction site, including climbing stairs and ladders, steep/ slippery terrain, walking, and working outdoors in all types of Edmonton weather and conditions
